Purchasing Assistant

SUMMARY:

The Purchasing Assistant assists the Purchasing Department with sourcing, procuring, and managing of goods and services, such as raw materials, equipment, tools, parts, and supplies, vital for our manufacturing operations.  Assists the Receiving Department with unloading, receiving and accurately recording incoming shipments of goods and services and the Inventory Department with maintaining accurate and acceptable inventory levels.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Provide administrative support to the Purchasing team.
  • Assist the buyers with entering purchase orders, reviewing open orders, and updating supplier price lists.
  • Assist with maintaining status of orders.
  • Assist with maintaining records such as items or services purchased, costs, delivery, product quality or performance, and inventories.
  • Assist with unloading, receiving and recording incoming shipments of goods and services.
  • Assist with inspecting incoming deliveries for damage and fraud and to verify accuracy.
  • Assist with entering data concerning goods received and inventory into the company’s database and maintaining accurate records of received goods.
  • Communicate with operations regarding inventory management, quality control, and logistics as needed.
  • Assist with accurately reporting and tracking physical inventory.
  • Participate in inventory process and audits; research and help to resolve inventory discrepancies.
  • Work with Accounts Payable and Shipping/Receiving department to resolve payment/receiving issues.
  • Provide administrative and clerical support to the purchasing, receiving and inventory management departments; Assist said departments as needed.
  • Other duties as assigned.

While performing the duties of this job, the employee is occasionally required to use hands and fingers to handle, or feel; reach with hands and arms, climb or balance; stoop, kneel, crouch, or crawl, and talk or hear. The employee is required to sit frequently. The employee is occasionally required to stand and walk.  Ability to lift up to 25 lbs. occasionally is required. Specific vision abilities include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts.  Employees must have closed toe, rubber sole shoes to wear anytime they are required to be in the factory.  The noise level in the office environment is usually quiet.  The noise level in the factory is consistent with light industrial manufacturing.

EDUCATION/EXPERIENCE

  • High School diploma or equivalent
  • A minimum of 1 year experience of clerical, purchasing, receiving, data entry, and basic inventory control
  • Proficient in Word, Excel, and Outlook
  • Experience in Epicor Enterprise Software a plus
